Job Title: Import-Export Documentation Executive

Department: Logistics/Operations
Location: Kandivali, Mumbai
Reports To: [Logistics Manager/Operations Manager]

We are looking for an organized and detail-oriented Import-Export Documentation Executive to join our team and ensure smooth international shipping and compliance.


Key Responsibilities:

  • Import and Export Documentation:
    • Prepare and manage all import/export-related documentation (invoices, packing lists, bills of lading, certificates of origin, etc.).
    • Ensure that all documentation complies with legal and regulatory requirements in both the exporting and importing countries.
    • Verify correctness of documentation for customs clearance and manage customs duty calculations.
  • Shipping Coordination:
    • Liaise with freight forwarders, shipping lines, and customs brokers to ensure timely delivery of shipments.
    • Track and monitor the status of shipments, ensuring that all shipments are delivered on time and in accordance with customer requirements.
  • Customs Compliance:
    • Assist in preparing and filing the necessary customs declarations for import and export shipments.
    • Keep updated with changes in international trade laws, customs regulations, and tariffs that may affect imports/exports.
  • Document Archiving:
    • Ensure that all documentation is archived correctly and retained for the required period in accordance with company policies and legal requirements.
  • Cost Management:
    • Ensure that shipping costs, duties, and taxes are accurately calculated and optimized where possible.
    • Monitor and minimize unnecessary shipping delays and costs.

Key Skills and Qualifications:

  • Education:
    • Bachelor's degree in Business, International Trade, Logistics, or related field.
    • Certification in Import/Export Documentation, Customs, or Freight Forwarding (preferable).
  • Experience:
    • 1-3 years of experience in import/export documentation, preferably in the kitchenware or consumer goods sector.
    • Experience with international shipping, logistics, and customs clearance procedures.
  • Technical Skills:
    • Knowledge of Incoterms and export-import procedures.
    • Familiarity with online documentation systems and freight forwarding software.
    • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
