Job Description/Profile:

As an Executive Personal Assistant to the CEO, you will play a crucial role in providing comprehensive support to the Chief Executive Officer (CEO) in managing the day-to-day operations, facilitating effective communication, and contributing to the overall success of the organization. You will serve as a key liaison between the CEO and various internal and external stakeholders, ensuring that the CEO's time and resources are optimized for strategic decision-making and business growth.

 

In this highly dynamic role, you will accompany the CEO on their travels and engagements, ensuring their needs are met and that their time is optimized for strategic priorities.

 

Key Responsibilities:

Executive Support:

  • Manage the CEO's calendar, appointments, and scheduling to maximize efficiency and prioritize important tasks.
  • Prepare and organize materials for meetings, presentations, and conferences.
  • Coordinate travel arrangements and accommodations for the CEO and other executive team members as necessary.
  • Handle confidential and sensitive information with the utmost discretion.
  • Act as a representative of the CEO, representing the organization at meetings, events, and functions when necessary.

 

Communication:

  • Screen, prioritize, and respond to incoming emails, phone calls, and other communications on behalf of the CEO.
  • Draft, proofread, and edit correspondence, reports, and documents for internal and external distribution.
  • Facilitate effective communication between the CEO and various departments, ensuring information flow and collaboration.

 

Project Management:

  • Assist in managing special projects, initiatives, and cross-functional teams as directed by the CEO.
  • Monitor project timelines, milestones, and deliverables, providing status updates to the CEO and relevant stakeholders.
  • Conduct research and analysis to support strategic decision-making and business development efforts.

Relationship Management:

  • Build and maintain relationships with key stakeholders, including board members, investors, clients, partners, and employees.
  • Collaborate with other executives and departments to ensure alignment with the CEO's vision and goals.

 

Administrative Support:

  • Perform administrative tasks such as expense tracking, document filing, and record keeping.
  • Assist in preparing agendas, minutes, and follow-up action items for meetings chaired by the CEO.
  • Coordinate and manage internal and external events hosted by the CEO or the executive team.

 

Qualifications:

  • Bachelor's degree in business administration, management, or a related field (Master's degree is a plus).
  • Proven experience as an executive assistant or in a similar role supporting high level executives.
  • Excellent organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills, including the ability to interact professionally with diverse stakeholders.
  • Proficiency in office productivity software (e.g., Microsoft Office, Google Workspace).
  • High level of professionalism, integrity, and confidentiality.
  • Problem-solving skills and the ability to anticipate the needs of the CEO and the organization.
