Job Summary
The Executive Assistant to the CEO plays a crucial role in providing comprehensive administrative support. This position is responsible for facilitating communication with key stakeholders, coordinating meetings, managing the CEO's calendar, and ensuring timely follow-up on essential matters. The Executive Assistant will also handle sensitive information while maintaining confidentiality and discretion.
Responsibilities
- Email Management: Track and manage emails from designated email accounts, ensuring timely responses to relevant inquiries from investors, regulatory bodies, and institutional sponsors.
- Meeting Coordination: Organize internal and external meetings, manage requests, and arrange necessary logistical support for presentations and catering.
- Preparation for Meetings: Gather profiles of important visitors and compile requisite data for discussions, ensuring the CEO is well prepared for meetings with HODs and board members.
- Regulatory Liaison: Follow up with regulatory bodies such as SEBI and the Ministry of Finance regarding important matters for upcoming meetings.
- Sponsor Coordination: Maintain relationships with the CEO's office of sponsor institutions and be updated on previous discussions related to sponsorship matters.
- Board Management: Track communications with board members, facilitate meeting arrangements, and ensure no scheduling conflicts between the subsidiaries.
- Complaint Management: Ensure prompt referral of investor complaints to the appropriate departments for timely resolution.
- Communication Drafting: Assist in drafting responses and letters to sponsors, regulators, and communications from the CEO to employees as needed.
- Document Management: Keep track of departmental notes and ensure they are presented for CEO approval in a timely manner.
- Travel Arrangements: Handle all logistics related to the CEO's travel, including bookings and approvals.
- Confidentiality: Uphold a high degree of discretion and confidentiality in all interactions and tasks.
- Additional Duties: Perform any other duties that may arise, including those requiring immediate attention during evenings or weekends.
Qualifications
- Educational Background: Bachelor's degree or equivalent experience in administration or a related field.
- Technical Skills: Proficiency in email management systems, calendar management tools, and basic office software (MS Office Suite).
- Soft Skills: Excellent communication and writing skills, strong organizational and multitasking abilities, and a proactive approach to problem-solving.
- Experience: Previous experience in a similar executive support role is preferred; experience in corporate environments, especially in financial institutions, is a plus.
- Confidentiality: Proven ability to handle sensitive information with discretion and integrity.

- Familiarity with regulatory frameworks and compliance processes within the financial sector.
