Job Title: Logistics & Export Coordinator (with Project Management Skills)
Location: Starting as Home Office (with travel to local authorities/customs as required)
Objective of the Role:
Ensure the efficient and accurate handling of all logistics and export operations from factories (“ex works”) to global destinations. The Logistics & Export Coordinator acts as a vital link between factories, freight forwarders, and Procos headquarters, ensuring timely and compliant shipments while maintaining excellent communication and documentation standards.
Key Responsibilities:
1. Logistics Coordination
- Organize, monitor, and coordinate shipments from factories via sea, air, and (if applicable) rail.
- Act as the primary interface between factories and freight forwarders to schedule pickups, loading, and delivery timelines.
- Oversee the entire shipment flow — from raw material planning through production to final dispatch.
- Track and manage logistics milestones, production and shipment schedules, and proactively escalate delays or bottlenecks.
2. Documentation & Compliance
- Review and manage all export-related documentation, including:
- Commercial invoices, packing lists, certificates of origin, and transport documents.
- L/C (Letter of Credit) documentation when applicable.
- Customs and export compliance documentation per Indian regulations.
- Manage customs-related processes such as draw-back claims, GST refund documentation, and clearance procedures.
- Ensure the accurate exchange and verification of documents among factories, freight forwarders, and headquarters.
3. Reporting & Coordination
- Prepare shipment status reports for headquarters, including updates on delivery progress, risks, and delays.
- Maintain constant communication with stakeholders to ensure transparency and alignment on shipping priorities.
- Work closely with the QA/QC Officer to coordinate shipment readiness following quality approval.
4. Process Development & Optimization
- Develop and maintain standardized documentation and process frameworks to streamline logistics workflows.
- Support cost optimization efforts, such as benchmarking freight forwarders and identifying consolidation opportunities.
- Contribute to continuous improvement initiatives for logistics efficiency, compliance, and cost control.
Requirements:
- Education & Experience:
- Bachelor’s degree or equivalent qualification in Logistics, Supply Chain Management, Export Management, or related fields.
- Minimum 5 years of proven experience in export logistics operations within India, including customs clearance and compliance.
- Familiarity with international shipping documentation and Incoterms.
