Job Summary

The Planning & Execution Specialist is responsible for overseeing the goal deployment, performance management, and appraisal processes within the organization. This role ensures alignment of departmental objectives with organizational goals, facilitates performance reviews, and supports talent development through structured appraisal and feedback mechanisms. The specialist plays a critical role in maintaining accurate performance data, coordinating stakeholder interactions, and ensuring timely completion of all performance-related activities.

Responsibilities

  • Initiate the goal deployment process at the beginning of the financial year by collecting business goals and finalizing functional goals through cascading exercises.
  • Facilitate the preparation of goal sheets for each role by department Heads of Departments (HODs) and compile baseline data for KPIs across all functions.
  • Conduct one-on-one discussions with employees and their reporting managers to agree on KPIs, weightages, and targets; maintain all goal sheets in a centralized database.
  • Collect, update, and maintain monthly/quarterly actual performance data for all functions, ensuring accuracy and timely reporting.
  • Coordinate and facilitate performance review meetings, including half-yearly and annual appraisals, ensuring adherence to deadlines and proper documentation.
  • Facilitate discussions between employees and managers to review performance ratings, address disagreements, and finalize ratings with HOD approval.
  • Conduct normalization activities to arrive at final employee ratings and prepare data for moderation sessions with top management regarding promotions and performance assessments.
  • Calculate bonuses and annual increments as decided by top management, draft appraisal letters, and ensure their timely distribution to employees.
  • Coordinate with department HODs during goal setting, performance reviews, and appraisal processes to ensure consistency and transparency.

Qualifications

  • Proven experience in performance management, HR planning, or related roles.
  • Strong understanding of KPI setting, goal cascading, and performance appraisal processes.
  • Excellent facilitation and stakeholder management skills.
  • Proficiency in data compilation, analysis, and database management.
  • Knowledge of HR software and performance management tools.
  • Educational qualification: Bachelor’s degree in Human Resources, Business Administration, or related field; Master’s degree preferred.
  • Strong organizational and communication skills.
  • Ability to handle sensitive information with confidentiality.

Preferred Skills

  • Experience with normalization activities and moderation sessions.
  • Familiarity with HR analytics and performance metrics.
  • Ability to manage multiple deadlines and coordinate cross-functional teams.
  • Strong interpersonal skills for effective employee and management engagement.

Experience

  • Minimum of 3-5 years of experience in HR, performance management, or organizational planning roles.
  • Prior experience in managing appraisal cycles and KPI-based performance reviews is preferred.
