Job Description – Finance & Accounts Executive (Accounts Payable & Compliance) Job Title: Finance & Accounts Executive – AP & Compliance Position Overview We are looking for a meticulous and dependable Finance & Accounts Executive to manage core accounting, compliance, and accounts payable functions. This role will focus on maintaining accurate financial records, ensuring compliance with statutory requirements, and supporting the company’s operational finance activities. The ideal candidate should have a strong foundation in accounting principles, statutory compliance, and hands-on experience with ERP/accounting systems. Key Responsibilities 1. Accounting & Registers Maintain and update Fixed Asset Register (FAR) with accuracy and timely capitalization. Track and manage Prepaid Expenses Register to ensure proper amortization. Perform cost computation of manufacturing products to support pricing and margin analysis. 2. Statutory Compliance Ensure timely compliance with GST, TDS, PF, PT, and ESI filings. Stay updated on GST amendments and incorporate necessary changes into accounting practices. Coordinate with consultants/auditors to ensure accurate and timely statutory submissions. 3. Accounts Payable & Expense Management Process, verify, and record purchase invoices in the system. Manage other expense accounting, ensuring proper coding and approvals. Handle accounts payable function end-to-end, ensuring timely vendor payments. Prepare and process bank payments, maintaining supporting documentation. Ensure accurate and timely accounting in Zoho (or relevant ERP). 4. Payroll & Employee Accounts Manage payroll accounting in compliance with statutory requirements. Process and account for employee reimbursements with accuracy and timeliness. Qualifications & Skills Bachelor’s degree in Commerce / Finance / Accounting (B.Com / M.Com / MBA Finance). 3–5 years of relevant experience in accounts payable, compliance, and accounting operations. Sound knowledge of GST, TDS, PF, PT, and ESI regulations. Hands-on experience with Zoho Books / Odoo / Tally / SAP or similar ERP systems. Strong MS Excel and analytical skills. Good communication and interpersonal skills to coordinate with vendors, employees, and auditors. Key Attributes High attention to detail and accuracy. Ability to manage multiple priorities and meet strict deadlines. Integrity and confidentiality in handling sensitive financial information. Proactive, self-motivated, and a team player. KRA & KPI – Finance & Accounts Executive (AP & Compliance) 1. Fixed Asset & Prepaid Registers KRA: Ensure accurate recording and timely tracking of assets and prepaid expenses. KPIs: FAR updated within 2 working days of new asset purchase (Target: 100%). Prepaid expenses amortized accurately on a monthly basis (Target: 100%). Zero discrepancies in registers during audit. 2. Cost Computation of Manufacturing Products KRA: Provide accurate and timely costing for manufacturing products. KPIs: Cost sheets prepared within 3 working days of request (Target: 100%). Variance between actual and estimated cost ≤ 5%. Timely support provided to management for pricing/margin decisions. 3. Statutory Compliance (GST, TDS, PF, PT, ESI, Amendments) KRA: Ensure timely and error-free statutory compliance. KPIs: All GST, TDS, PF, PT, ESI filings completed before due date (Target: 100%). Zero penalties/interest due to late or incorrect filings. Implementation of GST amendments within the next filing cycle (Target: 100%). 4. Accounts Payable & Expense Management KRA: Maintain accuracy and timeliness in vendor payments and expense accounting. KPIs: Purchase invoices processed within 48 hours of receipt (Target: 100%). Vendor payment cycle adhered to (Target: ≥ 95% payments on agreed terms). Accuracy in expense coding and approvals (Target: ≥ 99%). Zero vendor escalations due to delays/errors. 5. Banking Operations KRA: Ensure smooth execution and accounting of bank transactions. KPIs: Bank payments processed on or before due date (Target: 100%). Bank entries posted in Zoho within 1 business day (Target: 100%). Zero reconciliation differences beyond 30 days. 6. Payroll & Employee Accounts KRA: Ensure accuracy and timeliness in payroll and reimbursements. KPIs: Payroll accounting completed within 2 working days of payroll closure (Target: 100%). Employee reimbursements processed within 5 working days of claim submission (Target: ≥ 95%). Zero employee complaints due to payroll/reimbursement errors. 7. Compliance & Audit Support KRA: Maintain documentation and support audits. KPIs: Documentation completeness for all statutory filings and payments (Target: 100%). Zero non-compliance remarks in internal/external audits. Timely submission of data for audits (Target: 100%).
