Job Summary
The AI Ops & Automation Specialist will serve as the technical backbone for workflows, digitization, and marketing operations. This role focuses on transforming business briefs into effective automations and stable systems, supporting the client/marketing team in a technical, non-creative capacity.
Responsibilities

Discover & Plan:
- Review briefs from client leadership or the Content/Creative Manager.
- Map data flows including data sources, tools, owners, and risks.
- Propose a plan and timeline for automation implementations.

Build:
- Configure systems using GoHighLevel, HubSpot/ActiveCampaign, Zapier/Make, and ClickUp.
- Create AI bots and assistants for various automations such as:
- Website/WhatsApp/SMS auto-reply bots for lead qualification and FAQs.
- Internal “brief-to-task” assistants using ChatGPT and ClickUp API.
- Data clean-up assistants for standardizing fields and tagging records.
- Develop dashboards in Looker Studio, landing pages, CRM integrations, and lead operations automations.

Operate & Integrate:
- Manage LinkedIn/email systems from data routing to booking and logging.
- Connect applications via APIs, webhooks, and JSON to keep CRM and sheets synchronized.

Stabilize & Document:
- Implement alerts, retries, and test steps for automations.
- Maintain documentation like runbooks, checklists, and schema diagrams.

Scale with Specialists:
- Coordinate with technical freelancers to expand the scope of projects and verify outputs.

Explore & Improve:
- Test new AI/automation tools, conduct pilots, and package wins as reusable templates.
Qualifications

Experience:
- 3–5 years in delivery/marketing operations or automation, preferably in agency or B2B tech/services.

Technical Skills:
- Experience with LinkedIn/email automation tools such as Instantly, Expandi/HeyReach, Lemlist, or similar.
- Proficiency in GoHighLevel or HubSpot/ActiveCampaign, Zapier or Make, and ClickUp (or Jira/Asana with automation rules).
- Basic understanding of APIs, webhooks, and JSON.

Certifications:
- One certification in tools such as Make, Zapier, n8n, GoHighLevel, HubSpot, Marketo, or Klaviyo, or a portfolio demonstrating similar skills.

Documentation Skills:
- Ability to create clear written notes and maintain tidy naming/versioning.
Preferred Skills
- Familiarity with Looker Studio/GA4 dashboards.
- Basic knowledge of SQL or Google Apps Script/Python utilities.
- Experience with n8n or light JavaScript for custom automation steps.
Experience
- 3–5 years of relevant experience in marketing operations or automation roles.
Environment
- Work location: Remote (India).
- Work hours: 4-hour overlap with US Eastern Standard Time (EST).
Salary
- Compensation ranges from ₹7–9 LPA fixed plus 10–15% variable.
