HR Executive - Zambia
Job Summary
The HR Executive will play a crucial role in managing expatriate and immigration processes, benefits administration, employee relations, and ensuring compliance with labor laws. This position is essential for maintaining a positive work environment and supporting the overall goals of the organization.
Responsibilities
- Expatriate/Immigration Management: Ensure timely application and renewal of work permits, dependent passes, and special passes, while maintaining a monthly tracker and coordinating with the immigration agent.
- Benefits Administration: Enroll new joiners in medical covers, pension, and group life insurance on their start date, and manage terminations on their last day. Follow up on medical claims and ensure staff awareness of their benefits.
- People Processes: Enroll new joiners on SuccessFactors, manage goal setting, and ensure timely completion of performance reviews.
- Employee Relations: Handle employee relations issues, manage documentation for litigations, and oversee the disciplinary process in compliance with the Employment Act.
- External Connections: Act as the liaison with labor offices and police, ensuring effective communication and compliance.
- Security Management: Oversee the management of internal and external security personnel, ensuring the safety of company property and employees.
- Documentation: Draft necessary notices and letters, including warnings, terminations, and confirmations.
- Exit Management: Ensure a smooth exit process for employees, managing clearance forms and documentation.
Qualifications
- Educational Background: Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Technical Skills: Proficiency in HR software (e.g., SuccessFactors), Microsoft Office Suite, and knowledge of labor laws and regulations.
- Soft Skills: Strong communication, problem-solving, and interpersonal skills.
- Certifications: HR certification (e.g., CIPD, SHRM) is preferred.
- Experience: Previous experience in HR roles, particularly in expatriate management and employee relations.
Preferred Skills
- Familiarity with pension and insurance administration.
- Experience in handling employee engagement activities.
- Knowledge of security management practices.
Experience
- Minimum of 3-5 years of relevant HR experience, particularly in expatriate management and employee relations.
