Job Overview: We are seeking a dynamic and results-driven Procurement Executive to join our team. The ideal candidate will have a passion for coffee and a strong understanding of procurement processes. This role requires excellent communication skills, a strategic mindset, and the ability to collaborate effectively in a fast-paced environment. Key Responsibilities: 1. Supplier Management • Identify and evaluate potential suppliers. • Maintain strong relationships with existing suppliers. • Negotiate contracts and agreements to secure favourable terms. 2. Cost Management • Analyse procurement costs and seek opportunities for savings. • Develop and implement cost-reduction strategies without compromising quality. 3. Inventory Management • Ensure optimal raw material (RM) and packaging material (PM) levels to meet production and sales demands. • Monitor stock turnover rates and adjust purchase orders accordingly. 4. Quality Assurance • Ensure purchased goods meet required quality standards. • Collaborate with quality control teams to address issues with suppliers. 5. Compliance and Risk Management • Ensure compliance with legal and regulatory requirements related to procurement. • Assess and mitigate risks associated with supplier contracts and supply chain disruptions. 6. Market Analysis • Conduct market research to stay updated on industry trends and price fluctuations. • Analyse competitor strategies and evaluate supplier performance. 7. Collaboration with Internal Teams • Work closely with production, logistics, and finance teams to align payments, last-mile delivery, and procurement strategies with overall business objectives. 8. Receiving Accuracy • Ensure accurate receipt of goods against purchase orders (POs) or return-to-origin (RTO). • Verify quantities, quality, and condition of incoming goods. Key Performance Indicators (KPIs): 1. Cost Savings • Percentage reduction in procurement costs year-over-year. • Total savings achieved through negotiations and supplier management. 2. Supplier Performance • Supplier lead time adherence (percentage of suppliers meeting delivery deadlines). • Quality rating of suppliers based on defect rates or compliance with standards. 3. Purchase Order Cycle Time • Average time from purchase order creation to order fulfilment. • Percentage of purchase orders processed within the specified timeframe. 4. Supplier Diversity • Percentage of spend with diverse suppliers (e.g., women-owned or minority-owned businesses). Qualifications: Education and Experience: • Bachelor’s degree in a relevant field. • 3–5 years of experience in procurement, preferably in the food and beverage industry. Skills and Competencies: • Strong understanding of procurement processes. • Excellent negotiation, communication, and interpersonal skills. • Proficiency in Microsoft Office and CRM/ERP software. • Ability to work independently and as part of a team. • Strong analytical and problem-solving skills. • Passion for coffee and commitment to quality and sustainability.
