Job Summary
The Payroll Specialist will be responsible for managing end-to-end payroll operations. This role ensures statutory compliance while facilitating seamless coordination with internal stakeholders. The ideal candidate will have a solid background in payroll processing, tax regulations, labor law compliance, and payroll structuring, complemented by excellent communication skills to collaborate effectively with leadership and global teams.
Responsibilities
- Manage end-to-end monthly payroll processing with complete accuracy and within defined timelines.
- Process employee reimbursements, salary revisions, final settlements (F&F), bonuses, incentives, and statutory deductions.
- Ensure statutory compliance related to Tax Deducted at Source (TDS), Provident Fund (PF), Employee State Insurance Corporation (ESIC), Professional Tax (PT), Labour Welfare Fund (LWF), labor laws, and other applicable regulations.
- Prepare and file statutory returns, including TDS returns, PF returns, Form 16 generation, and other payroll-related compliances.
- Handle payroll accounting, reconciliation, payroll audits, and maintain payroll records.
- Design and manage payroll structures in compliance with taxation and statutory guidelines.
- Coordinate with Finance, HR, auditors, and external consultants for payroll-related activities.
- Resolve employee payroll queries efficiently while maintaining confidentiality.
- Support payroll automation and continuous process improvement initiatives.
- Prepare payroll Management Information System (MIS) reports and dashboards for management review.
- Collaborate with leadership and cross-functional/global teams to ensure smooth payroll operations.
Qualifications
- Bachelor's degree in Commerce, Finance, HR, or a related field (MBA or relevant certification is an advantage).
- Minimum 4 years of experience in Payroll Operations.
- Hands-on expertise with Keka and Darwinbox payroll systems is mandatory.
- Strong knowledge of:
- Payroll processing
- TDS computation and return filing
- Labour laws and statutory compliances
- PF, ESIC, PT, LWF, and related filings
- Payroll taxation and salary structuring
- Good understanding of payroll accounting and reconciliations.
- Advanced proficiency in MS Excel.
- Excellent communication and stakeholder management skills with the ability to interact confidently with senior leadership and cross-geographical teams.
- Strong analytical, problem-solving, and organizational skills.
Preferred Skills
- Experience in handling payroll for medium to large organizations.
- Exposure to payroll automation and process improvement initiatives.
- Ability to work independently while managing multiple priorities in a fast-paced environment.
Experience
- Minimum of 4 years of relevant experience in Payroll Operations.
