Job Title: Admin Executive
Experience Required: 3+ years in Administration / HR Support
Location: Gurgaon
Role Overview:
The Admin Executive will be responsible for managing day-to-day administrative operations, employee support processes, and office facilities to ensure smooth functioning of the organization. This role demands strong organizational skills, attention to detail, and the ability to handle multiple responsibilities effectively while ensuring employee experience is seamless.
Key Responsibilities:
Administration & Office Management
- Oversee office facilities including maintenance, housekeeping, and vendor management.
- Manage stationery, stock, and office supplies to ensure timely availability.
- Handle asset management (e.g., laptops, office equipment) including issuance, tracking, and retrieval.
- Coordinate ticket bookings, travel arrangements, and Uber accounting.
- Manage voucher buying, gifting, and welcome kits for employees.
Employee Lifecycle Management
- Support employee onboarding (documentation, kits, insurance, induction coordination).
- Facilitate exit management including clearance, asset retrieval, and full & final settlement process.
- Administer leave and attendance systems ensuring accuracy and timely reporting.
- Assist with employee reimbursements and client reimbursement claims, ensuring policy compliance.
- Approve and track employee expense claims in coordination with finance.
HR & Employee Engagement
- Manage employee insurance administration and related queries.
- Support employee engagement initiatives by planning and executing events, celebrations, and activities.
- Contribute to creating a positive and engaging workplace environment.
Skills & Competencies:
- Strong knowledge of administration, HR operations, and facilities management.
- Proficiency in MS Office (Excel, Word, PowerPoint) and HR/Admin software.
- Good knowledge of reimbursements and vendor coordination.
- Excellent communication, interpersonal, and problem-solving skills.
- Ability to multitask, prioritize, and work independently under minimal supervision.
Qualifications:
- Graduate in Business Administration / HR / Commerce or equivalent.
- 3+ years of experience in Administration & HR support roles.
- Prior exposure to employee lifecycle, facilities, and travel management will be an advantage.
